Standard Operating Procedure Template

How to Fill Out an SOP Template
An SOP must be written for the person performing the task, not the person who designed it. Follow these pillars:
1. Be Precise in the “Purpose & Scope”
Don’t just say what the task is; say who it belongs to.
- Example: “This SOP applies to all members of the Billing Department and covers the process from invoice generation to final payment reconciliation.”
2. Use the “Action-Verb” Method in Process Steps
In the Process Steps table, start every instruction with a command verb.
- Bad: “The software should be opened and then you log in.”
- Good: “1.1 Open the CRM software. 1.2 Enter your unique credentials. 1.3 Click ‘Generate Report’.”
3. Match Resources to Steps
Don’t let a worker get halfway through a process only to realize they are missing a tool. Use the Resources section to list every software login, physical tool, or specific form needed before they start.
4. Define “Frequency” to Avoid Drift
Clearly stating the Frequency (e.g., “Every Friday at 4 PM”) transforms the SOP from a static document into a living part of the work schedule. This ensures that maintenance or reporting tasks don’t get forgotten during busy weeks.
