How to Fill Out an RFP Template
An RFP must be clear enough to follow, but open enough to allow for vendor innovation. Follow these pillars:
1. Be Specific in the “Scope of Work”
This is the heart of the RFP. Don’t just say “we need a website.” List the Project Tasks (e.g., “Migration of 500 blog posts”) and Deliverables (e.g., “A fully responsive CMS”). The more specific you are, the more accurate the vendor’s pricing will be.
2. Set Clear “Selection Criteria”
Vendors need to know how they are being graded. Are you looking for the cheapest price, or the most experienced team?
- Example: “Scoring: 40% Technical Expertise, 30% Proposed Methodology, 20% Cost, 10% Client References.” This transparency saves time for both you and the bidders.
3. Provide “Instructions for Submission”
Don’t let vendors send you a 100-page marketing deck. Specify the format: “Proposals must be PDF, max 15 pages, and must include a separate line-item budget.” This makes the review process significantly faster for your team.
4. Share the “Project Timeline”
Vendors need to know if they have the “bandwidth” to take on your work. By listing your Milestones (e.g., “Project Launch by Sept 1st”), you ensure that only vendors who can actually meet your deadline will apply.
